Privacy Collection Notice & Freedom of Information Statement
The Department of Energy and Economic Diversification (the Department) collects personal information for the purposes described in this Privacy Collection Notice.
This notice is intended to meet the Department’s obligations to take reasonable steps to ensure individuals are made aware of the matters set out in IPP 1.9 of the Privacy and Responsible Information Sharing Act 2024 (WA) (PRIS Act) at or before the point of collection (or, if not practicable, as soon as practicable after).
Access - You may request access to, or correction of, personal information held by the Department about you, where applicable and in accordance with the Department’s access arrangements and any applicable statutory processes (including the Freedom of Information Act 1992 (WA), where relevant). Purpose of collection, use and disclosure - Information provided by Applicants or collected by the Department relating to an Applicant or their application may be used in the administration and assessment of their application. The Department will store personal information collected in this process, supporting documentation and any program administration, monitoring and evaluation activities in compliance with its obligations under the Privacy and Responsible Information Sharing Act 2024 (WA).
The Department collects, uses and may disclose personal information for the following purposes:
i) receiving and assessing applications for the Western Australian Premier’s WACE Scholarship (the WACE Scholarship);
ii) administering the WACE Scholarship;
iii) communications with applicants regarding their applications for the WACE Scholarship;
iv) producing recipient lists and briefing materials;
v) evaluation, reporting, audit, accountability, and internal governance purposes; and
vi) managing probity, risk, and compliance (including to address conduct, safety, reputational, security or operational issues).
Usual disclosures (including overseas disclosures) - The Department usually discloses personal information of this kind to:
i) Western Australian universities, tertiary institutions and pathway providers for the purpose of verifying applicants’ enrolment, course progression and scholarship eligibility;
ii) Assessment panels, advisers and subject matter experts assisting the Department in assessing applications;
iii) other Western Australian Government agencies for verification of applicant’s completion of the WACE, probity, reporting, audit and program administration purposes;
iv) the Minister’s Office and other authorised Government decision-makers in connection with the administration of the WACE scholarship;
v) contractors, service providers and professional advisers engaged by the Department to assist with administration of the scholarship program; and
vi) regulators, integrity bodies, auditors, or oversight entities where required or otherwise authorised by law, and for parliamentary, audit or accountability purposes.
The Department does not generally disclose personal information outside Australia. If overseas disclosure becomes necessary for the administration of the scholarship, the Department will only do so with the individual's consent or where otherwise authorised by law.
Law requiring collection - Certain information is required to enable the Department to assess eligibility for, administer and evaluate the WACE Scholarship. Some information may also be required to be retained under written law (for example, for audit, accountability and records management requirements). If a specific field of information is mandatory by law, the Department will identify that at the point of collection or in the relevant form.
Consequences of not providing information - If you do not provide all or part of the requested information, the Department may be unable to assess your application for the WACE Scholarship. This may result in the application not being progressed.
